Sharing a Process via Email
You can invite people to run a process by sending them an email invitation directly from NextStep.
Sending an Invitation
- Open the Run Process modal from the sidebar.
- Select the process you want to share.
- Enter the recipient’s email address.
- Optionally customise the title for the instance — this helps distinguish it from other runs of the same process (e.g., “Q1 Onboarding — Jane Smith”).
- Click Send.
The recipient will receive an email with a link to start the process.
What the Recipient Sees
The invitation email includes:
- The process title and custom instance title (if set)
- A button to start the process
- Your team’s branding (logo and colours) if configured
Resending Invitations
If someone hasn’t started their process, you can resend the invitation:
- Go to the Dashboard and find the instance.
- Click the three-dot menu on the instance.
- Select Resend Invitation.
You can send invitations to anyone — they don’t need a NextStep account. If guest access is enabled on the process, they’ll be able to complete it as a guest.
Multiple Invitations
You can send multiple invitations for the same process. Each invitation creates a separate instance, so each person gets their own copy to work through independently.
