Guest Access

Guest access lets people outside your team run processes without creating a NextStep account.

How It Works

When guest access is enabled on a process:

  1. Anyone with the run link can start an instance.
  2. They’ll be asked to enter their name and email address before starting.
  3. They can complete tasks, fill in forms, upload files, and leave comments — just like a team member.

Enabling Guest Access

Guest access is controlled per process:

  1. Open the process in the editor.
  2. Go to Settings.
  3. Toggle Allow guest access on.
  4. Publish the process for the change to take effect.

What Guests Can Do

  • Complete tasks assigned to them
  • Fill in form fields (text, dropdowns, file uploads, etc.)
  • Upload files and images
  • View the process progress
  • Leave comments on tasks

What Guests Cannot Do

  • Access your dashboard or other processes
  • View other team members’ information
  • Modify the process template
  • Access any processes they weren’t explicitly invited to

Guest users receive email notifications for task assignments and comments, just like team members. Their experience is scoped to only the specific process instance they were invited to.

Guest Identification

Guests are identified by the name and email they provide when starting the process. This information appears alongside their task completions and comments so your team knows who did what.
