Approval Workflows

Approval tasks add a review step to your process, requiring someone to approve or reject work before the process can continue.

How Approvals Work

When a task is set to the Approval type:

  1. The assigned approver reviews the task and any submitted form data.
  2. They choose to Approve or Reject the task.
  3. If approved, the task is marked complete and the process continues.
  4. If rejected, the task is sent back for revision.

Approving a Task

  1. Open the process instance and navigate to the approval task.
  2. Review the information submitted in previous tasks.
  3. Click Approve to sign off on the task.

Rejecting a Task

  1. Open the approval task.
  2. Click Reject.
  3. Optionally add a comment explaining what needs to change.

When a task is rejected, it’s unlocked for the assignee to revise and resubmit.

Task Locking

When an approval task is pending review, previous related tasks may be locked to prevent changes while the review is in progress. Once the approval is resolved (approved or rejected), the relevant tasks are unlocked.

You can set up approval tasks when building your process. In the task settings, change the task type from Standard to Approval and assign the approver.

Bulk Approvals

If you have multiple tasks waiting for your approval, you can handle them from your Inbox. The inbox shows all pending approval tasks assigned to you, letting you review and approve them in one place.
