Tracking Progress & Completed Instances

Progress Tracking

Every process instance shows a progress bar indicating what percentage of tasks have been completed. This is visible on Active Processes (each instance card) and at the top of the Instance view.

Status Badges

  • Active — The instance is in progress.
  • Completed — All tasks have been finished.
  • Overdue — The instance has passed its due date and still has incomplete tasks.

Filtering

Use the filter tabs on Active Processes to view instances by status: Active, Completed, or Overdue.

Sorting and Searching

Sort instances by due date, date started, or progress. Toggle Group by Process to organise instances by their process template. Use the search bar to find specific instances by title.


Completed Instances

Access past process runs to review submissions, audit completed work, or reference historical data.

Finding Completed Instances

Go to Active Processes and click the Completed tab. Browse or search for the instance you’re looking for.

What’s Preserved

Completed instances keep all data from the run:

  • All completed tasks and their form field responses
  • Uploaded files and images
  • Comments and discussions
  • Timestamps for when each task was completed
  • Who completed each task

You can use the same search, sort, and group tools as the active view.

Reopening Tasks

If you need to make changes to a completed instance, you can undo task completions to reopen specific tasks. This is useful for correcting mistakes or updating information after the fact.
