Running a Process via Link

Every published process has a unique run link that anyone can use to start a new instance.

There are several ways to get a process run link:

  1. From the process editor — Click the Share button in the top right to copy the run link.
  2. From the Process Library — Click the three-dot menu on a process and select Copy Run Link.
  3. From the sidebar — Click Run Process, select a process, and use the link displayed.

Starting an Instance

When someone opens a run link:

  1. They see the process title, description, and cover image (if set).
  2. They click Start to create a new instance.
  3. They work through the tasks in order, filling in form fields and completing each step.

By default, anyone with the link can start a new instance. You can restrict this in Process Settings:

  • Anyone with the link (default) — Anyone can start the process, even without an account. Guests will be asked for their name and email.
  • Team members only — Only signed-in members of your team can start the process. Anyone else will see a prompt to sign in.

Run links only work for published processes. If a process is in draft mode, the link will show an error.

If your team has a custom subdomain set up (e.g., yourcompany.getnextstep.io), run links will automatically use your branded URL instead of the default getnextstep.io. See Branding & Custom Subdomain to set this up.

  • Guest Access — enable guest access so external users can run processes without an account
  • Sharing via Email — send email invitations instead of sharing a link
  • Scheduling — automate recurring runs
