Running a Process via Link

Every published process has a unique run link that anyone can use to start a new instance.

There are several ways to get a process run link:

  1. From the process editor — Click the Share button in the top right to copy the run link.
  2. From the Process Library — Click the three-dot menu on a process and select Copy Run Link.
  3. From the sidebar — Click Run Process, select a process, and use the link displayed.

Starting an Instance

When someone opens a run link:

  1. They see the process title, description, and cover image (if set).
  2. They click Start to create a new instance.
  3. They work through the tasks in order, filling in form fields and completing each step.
  • Team members — Signed-in team members can run any published process.
  • Guests — If guest access is enabled, anyone with the link can run the process without creating an account. They’ll be asked for their name and email to identify themselves.

Run links only work for published processes. If a process is in draft mode, the link will show an error.

If your team has a custom subdomain set up (e.g., yourcompany.getnextstep.io), run links will automatically use your branded URL instead of the default app.getnextstep.io.
